Voice settings
Configure how the AI answers calls, including the greeting, transfer number, and notifications
In Voice → Settings in the sidebar, you configure how the AI answers calls. There are four tabs, "Basic", "Transfer", "Contact", and "Slack", and you "Save" each tab separately.
Basic
Receiving number
Shows the number the AI answers calls on. The NEWT Chat team issues, changes, and cancels numbers. If you need a change, please contact our support team.
Greeting message
The first message the AI says when a call connects (up to 500 characters).
Example: "Thank you for calling. This is XX Hotel."
Audio is generated when you save. If you write the message in multiple languages, it's read aloud in those languages.
Transfer
Set the Transfer phone number to use when the AI can't handle a call. Only phone numbers in Japan can be set. If left blank, calls aren't transferred.
Contact
Shows the contact email address that receives notifications for calls that need follow-up. This address is shared with the chat contact form. To change it, click "Open agent settings" and update it in Agent Settings.
Slack
When a call ends and its transcript is ready, a notification is posted to the Slack channel you specify. This is handy when your team wants to share call details right away.
Example notification
Each notification includes a summary of the call and a link that opens the call details in the dashboard.
📞 着信がありました
エージェント: Sample Hotel
着信元: ***5678
着信時刻: 2026/10/05 14:32
通話時間: 2分15秒
状況: 用件を預かりました
通話内容を確認するNotifications are currently posted in Japanese. Each line means the following:
| Item | Details |
|---|---|
| エージェント (Agent) | The name of the agent that answered the call |
| 着信元 (Caller) | The caller's number, with all but the last 4 digits hidden. "非通知" (withheld) if the number was not provided |
| 着信時刻 (Received at) | When the call was received (Japan time) |
| 通話時間 (Duration) | The length of the call |
| 状況 (Status) | One of "用件を預かりました" (message taken), "留守電が入りました" (voicemail received), "オペレーターへ転送しました" (transferred to an operator), or "転送できませんでした" (transfer failed). Not shown when the AI handled the call by itself |
| 通話内容を確認する (View call) | A link that opens the call in Inbox in the dashboard |
For privacy, notifications do not include the conversation (transcript) or the full phone number. Check the details in the dashboard via the link.
Setup
Create an "Incoming Webhook" in Slack and register the issued URL in NEWT Chat.
Open the Slack app creation page
Open Your Apps on Slack API in your browser and sign in with an account in the workspace you want to notify. Click "Create New App" and choose "From scratch".
Enter an app name and choose a workspace
Enter a name in "App Name" (e.g. NEWT Chat Call Alerts), choose the workspace in "Pick a workspace to develop your app in", and click "Create App". The app name is shown as the sender of the notifications in Slack.
Turn on Incoming Webhooks
Open "Incoming Webhooks" from the left menu and switch "Activate Incoming Webhooks" On.
Choose the channel to notify
Click "Add New Webhook" (it may be labeled "Add New Webhook to Workspace") at the bottom of the same page. Choose the channel to post to and click "Allow".
Copy the webhook URL
A URL starting with https://hooks.slack.com/services/ is added under "Webhook URLs for Your Workspace". Click "Copy".
Paste it into NEWT Chat and save
In the dashboard, open Voice → Settings, paste the URL into "Slack notifications (Incoming Webhook)" on the "Slack" tab, and click "Save". Notifications start with the next call.
If you have trouble setting it up
- Depending on your workspace settings, adding an app may require approval from a Slack admin. If the request is pending, ask your Slack admin.
- To post to a private channel, you need to be a member of that channel.
- Anyone who knows the webhook URL can post to the channel. Do not share the URL outside your organization.
Change or stop notifications
- Change the channel: Add a new webhook for the new channel in Slack, then paste its URL into Voice settings and save.
- Stop notifications: Clear "Slack notifications (Incoming Webhook)" in Voice settings and save.
- One notification is sent per call. If sending fails (for example, because the webhook was deleted in Slack), it is not retried.
