NEWT Privacy Policy

This document constitutes the official English version of the NEWT Privacy Policy applicable to Users located outside Japan. Certain provisions have been supplemented to comply with applicable laws in the jurisdictions where the Service is offered. In the event of any conflict or discrepancy between the English and Japanese versions with respect to provisions that exist in both versions, the Japanese version shall prevail.

Personal Information Protection Policy

Reiwa Travel, Inc. (hereinafter referred to as the “Company”) establishes the following Personal Information Protection Policy, builds a personal information protection framework, and promotes the protection of personal information by ensuring that all employees and relevant staff are fully aware of the importance of personal information protection and committed to its implementation.

  • (1) The Company shall limit the collection, use, and provision of personal information to the scope necessary for the business it provides, and shall implement measures to prevent use beyond the stated purposes. Where use beyond such purposes is required, the Company shall obtain the consent of the relevant individual except where otherwise permitted by applicable laws and regulations.

  • (2) The Company shall comply with laws and regulations, guidelines established by the government, and other norms relating to the handling of personal information, and shall protect personal information accordingly.

  • (3) The Company shall implement organizational, personnel, physical, and technical security management measures to properly manage personal information, prevent and remediate leakage, loss, or damage of personal information, and continuously improve its personal information security framework.

  • (4) When the Company receives complaints or inquiries regarding the handling of personal information, it shall promptly investigate the relevant facts and respond sincerely.

  • (5) The Company shall review and continuously improve its personal information management system in a timely and appropriate manner, taking into account developments in IT technology, social conditions, changes in the environment, and other relevant factors.

Handling of Personal Information

In accordance with the Act on the Protection of Personal Information and the Personal Information Protection Policy, the Company discloses the following matters.

1) Purposes of Use of Personal Information

The Company uses personal information it collects within the scope of the following purposes:

(1) Arrangement, provision, and receipt of travel and other services provided by the Company and its business partners, and provision of insurance-related services;

(2) Announcements regarding the Company’s campaigns, and other advertising, promotional, and marketing activities;

(3) Provision of information via the Company’s various email newsletters, direct mail, and similar communications;

(4) Soliciting opinions and feedback following participation in travel and receipt of other services;

(5) Responding to inquiries from customers;

(6) Creation of statistical data, data analysis, and service development and research;

(7) Monitoring, prevention, analysis, and countermeasures against fraudulent activities;

(8) Delivery of third-party advertisements tailored to customers;

(9) Distribution or display of the Company’s campaign information within third-party services; and

(10) Purposes incidental to the above purposes.

2) Personal Information Held by the Company

For the purpose of conducting its business operations, the Company primarily collects the following types of personal information relating to customers. Please note that depending on the specific content of the information, it may not constitute personal information in certain cases.

  • Information provided by customers regarding themselves and other travelers in connection with travel bookings and similar applications;

  • IP addresses used when customers’ computers connect to the Internet; information relating to the identification of mobile devices; and information collected when customers access the Company’s apps and websites, including browser type and version, operating system, platform, pages viewed (URLs), date and time of browsing, and products viewed or searched; and

  • Other information collected in connection with the use of the Company’s services, including:

    – Transaction history linked to information that can identify individual customers;

    – Information relating to subscriptions to the Company’s email newsletters and similar communications; and

    – Information provided by customers in connection with the Company’s non-travel services.

3) Provision and Collection of Personal Information to/from Third Parties (Including Those Located Outside Japan)

The Company provides customers’ personal information—including name, gender, age, address, telephone number, email address, passport number, other personal information relating to service use, website browsing history, product purchase history, device identification information, location information, and personal-related information automatically generated upon visiting the Service (such as IP address, browser type, browser language, and similar data)—to transportation and accommodation providers, insurance companies, government agencies, souvenir shops, duty-free shops, and advertising platforms, by electronic transmission or other means, to the extent necessary for: arranging travel services and completing procedures for their receipt in connection with booked travel; processing insurance to cover costs arising from accidents; ensuring the safety of travel; facilitating customers’ purchases at souvenir shops and duty-free stores at travel destinations; and other purposes described in Section 1 above.

In cases of illness or accident during travel, the Company may collect personal information of the customer’s emergency contact person. This information will be used only when the Company deems it necessary to contact such person in the event of the customer’s illness or similar situation. Customers are responsible for obtaining the consent of their emergency contact person before providing such person’s personal information to the Company.

Where necessary to protect the life, body, or property of a person and it is difficult to obtain the consent of the individual concerned, the Company may provide personal information to a third party without the customer’s consent.

When customers use the social login function to log in via a third-party service (such as Google or Apple), the Company may, based on the customer’s privacy settings on that service and subject to management by that service or the customer’s permission, instruct such service to transmit registration information, profile information, and other information to the Company.

When customers log in using the social login function with credentials from a third-party service (such as Google or Apple), the Company may share information about the customer’s access to or interactions with the Company’s service with such third-party services. The privacy policy of the relevant service shall apply to any personal information shared in this manner.

In our creator program and other referral programs, when a referred customer makes a booking using a referral coupon or similar, we will, with the prior consent of that customer, display to the referrer (including creators; the same applies hereinafter), for the purpose of showing each program’s results, the total discount amount for the booking and the awarded points calculated based on the booking amount (including points scheduled to be awarded).

Where personal information is transferred to third parties located outside Japan, the Company implements appropriate safeguards, which may include: (a) confirming that the recipient country provides an adequate level of protection; (b) entering into data transfer agreements incorporating standard contractual clauses; or (c) obtaining the User’s explicit consent to the transfer.

For Korea-resident Users: Cross-border transfers of personal information are conducted in accordance with Article 28-8 of the Korean Personal Information Protection Act (PIPA). Users may refuse consent to overseas transfer; however, this may limit the availability of certain Services.

For Taiwan-resident Users: Cross-border transfers are conducted in compliance with Article 21 of the Taiwan Personal Data Protection Act.

4) Procedures for Disclosure and Other Requests Relating to Personal Information

Upon verifying that a request is made by the customer or their authorized representative, the Company will respond to requests for disclosure, correction, addition, deletion, suspension of use or provision, or erasure of personal information within a reasonable period and scope. Please note that where the procedures necessary for providing the Company’s services cannot be completed as a result, the Company or its business partners may decline the customer’s application or request.

The Company will not be able to comply with a request where doing so would significantly impede the proper conduct of the Company’s business operations, or where compliance would violate applicable laws or the Company’s internal regulations.

In addition to the rights described above, Users have the following rights with respect to their personal information:

(1) Right of Access: Users may request confirmation of whether personal information is held and obtain a copy thereof.

(2) Right to Rectification: Users may request correction of inaccurate personal information.

(3) Right to Erasure: Users may request deletion of personal information, subject to applicable legal retention requirements.

(4) Right to Restriction of Processing: Users may request that the Company restrict the processing of their personal information in certain circumstances.

(5) Right to Data Portability: Users may request their personal information in a structured, commonly used, machine-readable format.

(6) Right to Object: Users may object to processing of their personal information based on legitimate interests, including for direct marketing purposes.

5) Outsourcing of Operations

The Company may outsource part of its operations and provide personal information to such outsourced contractors to the extent necessary. In such cases, the Company will enter into appropriate agreements governing the handling of personal information with such contractors, and will exercise appropriate supervision and conduct regular checks on their handling of personal information.

5-2) Retention Period

The Company retains personal information for as long as necessary to fulfil the purposes for which it was collected, including for the duration of the User’s account or membership, and for a reasonable period thereafter as required by applicable law or for legitimate business purposes such as dispute resolution.

6) Amendments to This Privacy Policy

The Company may amend all or part of this Privacy Policy as necessary. In the case of material changes, the Company will announce the amended content on its services. Unless the Company separately specifies otherwise, any amended Privacy Policy shall take effect from the time it is posted on the Company’s services.

7) Other Matters

In addition to the above, the Company may separately establish procedures for the handling of personal information in connection with the use of its individual services. For matters not described in relation to the handling of personal information, the provisions of this Privacy Policy shall apply.

7-2) Minors

The Company does not sell the personal information of minors under the age of 16 without affirmative authorization.

8) Cookies and Similar Technologies

In order to provide better services, when customers access the Company’s services, the Company may use cookie technology to collect access information. The Company may also collect and use non-identifying cookies for the purposes of advertising and marketing activities, improving the quality of its services and related services, developing and improving products, improving systems and services, implementing optimal sales promotions for customers, and supporting the advertising activities of the Company’s business partners.

As an example, the Company uses Google Analytics provided by Google LLC for service analysis. Please refer to Google’s website for the Google Analytics Terms of Service and Privacy Policy:

Using cookie and JavaScript technologies, the Company may collect non-identifying attribute information (limited to information that cannot be used to identify individuals even in combination) such as age, gender, occupation, and region of residence, as well as device information, users’ behavioral history within the Service (accessed URLs, content, browsing sequence, etc.), and location information based on user consent when using smartphones and similar devices. Cookies and behavioral history data do not contain any personal information.

Customers may delete cookies or refuse to have cookies stored on their devices through their web browser settings. However, doing so may cause certain features of the Service to not function properly.

For California-resident Users: The Company does not “sell” personal information as defined under the California Consumer Privacy Act (CCPA). However, the sharing of data with advertising partners for cross-context behavioral advertising may constitute a “sale or sharing” under California law. 9) Meta Pixel and TikTok Pixel

In order to provide better services, when customers access the Company’s services, the Company may use Meta Pixel provided by Meta Platforms, Inc. and TikTok Pixel provided by ByteDance Ltd. to collect access information from websites and apps. This information does not identify specific individuals and is used for advertising and marketing activities, improving the quality of services and related services, developing and improving products, improving systems and services, implementing optimal sales promotions for customers, and supporting the advertising activities of the Company’s business partners.

Using Meta Pixel and TikTok Pixel technologies, the Company may collect non-identifying attribute information (limited to information that cannot be used to identify individuals even in combination) such as age, gender, occupation, and region of residence, as well as device information, users’ behavioral history within the Service (accessed URLs, content, browsing sequence, etc.), and location information based on user consent. Information collected via Meta Pixel and TikTok Pixel does not contain any personal information.

10) Google Customer Match and Enhanced Conversions, Yahoo! Customer Data Audience Lists, Meta Custom Audiences, and TikTok Advanced Matching

In order to provide better services, the Company may use Google Customer Match and Enhanced Conversions provided by Google LLC, audience list-based delivery using customer data provided by Yahoo Japan Corporation, Custom Audiences based on customer lists provided by Meta Platforms, Inc., and Advanced Matching provided by ByteDance Ltd.

Under these features, the Company may encrypt customers’ email addresses, telephone numbers, and similar information and match such encrypted data with Google, Yahoo Japan, Meta, and ByteDance in order to deliver advertisements. This enables the Company to display customized advertisements relating to its services and campaigns on Google, Yahoo!, Meta, and TikTok services to respective customers, with the aim of improving user convenience.

Customers who wish to opt out of Google Customer Match and Enhanced Conversions, Yahoo! customer data audience lists, Meta Custom Audiences, and TikTok Advanced Matching may do so on their own through the relevant service settings.

External Transmission of User Information

We use advertising distribution services, behavioral log analysis tools, and other services provided by third-party companies. When you browse our website, information about you stored on your computer, smartphone, or other device may be transmitted to these third-party companies as described in the table below.

For information on how to restrict each third-party company’s use of cookies and similar technologies, please refer to the “Opt-Out” column in the table below.
